Zevij-Necomij is a purchasing organization for the technical wholesale trade and the hardware trade. With a turnover of €555 million, Zevij-Necomij is one of the largest purchasing organizations in the industry. Zevij-Necomij has been working with EDI for almost 25 years, of which the last 10 years have been very active. The communication went through FTP and the X.400 network using various software packages. The number of file formats was limited and Zevij-Necomij was dependent on third parties for adaptation.

Why DocTrails?

The most important outstanding wishes were paperless invoicing and the ability to send Pricat messages. To achieve this, Zevij-Necomij chose the DocTrails solution of D Soft. Every day Zevij-Necomij now sends, via D Soft’s solution, 2,850 electronic invoices to its members. Currently 39 wholesalers, with a total of 455 branches in the Netherlands and Belgium, are affiliated with Zevij-Necomij.

“Although Zevij-Necomij has been using EDI traffic for many years, this electronic message traffic has taken flight since 2008 with the introduction of the Zevij-Necomij Portal. Of the 550,000 invoices annually, 80% are currently received via EDI, which on the one hand means a considerable saving of 8 FTEs in the administrative department and on the other hand means a qualitative improvement in the information provided to our members. Especially through the use of DocTrails we are able to support virtually all message types and communication channels, which makes the connection of a new supplier or new member a lot easier. In addition to invoices, we are also seeing an increase in other digital documents, such as orders, order confirmations and packing slips”, says Niels Haadsma.

Zevij-Necomij went through a selection process based on objectives and principles. D Soft was selected to integrate their DocTrails solution into the existing system at Zevij-Necomij. In addition, both interoperability and accountability had to be ensured.

The DocTrails solution is easy to integrate in a existing application and ICT infrastructure. It and allows a simple delivery of electronic invoices to customers. Thanks to DocTrails, the costs are reduced, the customer service is improved and the company efficiency is increased. Messages received through DocTrails, convert immediatly into the desired format. The can therefore be read into the ERP or accounting package of the recipient.

D Soft developed an application based on DocTrails, Zevij Portal. This application provides the translation of the various types and formats of messages between members, suppliers and Zevij-Necomij itself.
